Essential Insights Counseling Center is looking for a Healthcare Administrative Coordinator to help keep our practice running smoothly and support the clients and clinicians we serve each day.

This role is a great fit for someone who is highly organized, communicates clearly, follows through reliably, and takes pride in helping a busy office feel calm, efficient, and well-supported. You will be an important part of the day-to-day functioning of the practice, supporting client communication, scheduling, insurance and billing tasks, office organization, and the systems that help our team do their best work.

What this role includes

This position includes a mix of front-office, back-office, and operational support responsibilities. Depending on the day, you may be helping a client by phone, organizing intake paperwork, supporting billing workflows, following up on a task that needs closure, or helping the office stay organized and stocked.

Responsibilities include:

  • Managing incoming and outgoing communication, including phone calls, voicemails, and emails

  • Supporting scheduling and appointment coordination

  • Collecting intake paperwork and making sure client records in the EHR are complete and accurate

  • Verifying insurance benefits for new and existing clients

  • Submitting insurance claims and assisting with billing-related administrative tasks

  • Supporting insurance follow-up and maintaining billing information as needed in collaboration with our biller

  • Assisting with insurance credentialing for new clinicians

  • Following up with clients regarding outstanding balances

  • Assisting with payroll support and general office management tasks

  • Monitoring office supplies and refilling or reordering as needed

  • Helping improve systems and workflows so that tasks are completed efficiently and consistently

  • Attending required staff meetings and trainings

  • Handling sensitive information with discretion, professionalism, and care

  • Providing other administrative support as needed

Qualifications

  • Previous administrative experience required

  • Experience in a healthcare, medical, or mental health setting strongly preferred

  • Strong organizational, time management, and follow-through skills

  • Excellent attention to detail and accuracy

  • Strong written and verbal communication skills

  • Ability to handle confidential and sensitive information appropriately

  • Proficiency with Microsoft Office and Google Workspace

  • Familiarity with insurance verification, claims, and billing procedures is a plus
